Availability
Overview
Your availability controls what times clients can select when booking with you. Define your regular working hours and block off time for holidays, personal time, or other commitments.
Clients see real-time availability based on your schedule and existing bookings. They can't book times that conflict with your availability or existing appointments.
Weekly Schedule
Set your regular working hours for each day of the week:
Setting Up Your Hours
- Go to Scheduling ā Availability
- You'll see a weekly calendar grid (Mon-Sun)
- For each day, set your working hours (e.g., 9:00 AM - 5:00 PM)
- Click the time fields to adjust start and end times
- For days you don't work, toggle them off or leave them blank
- Save your schedule
Example Schedule
Monday-Friday: 9:00 AM - 6:00 PM
Saturday: 10:00 AM - 4:00 PM (by appointment only)
Sunday: OFF (not available)
š” Buffer Time
Configure buffer time between bookings (e.g., 30 minutes) to account for travel, setup, or processing time. Clients can't book back-to-back sessions if buffer time is set.
Date Overrides
Block specific dates or change availability for specific days (holidays, vacations, special events):
Blocking Out Time
- Go to Scheduling ā Availability
- In the calendar, click on a specific date
- Choose Block Time or Custom Hours
- Block Time: Completely unavailable all day
- Custom Hours: Set specific times you're available (e.g., only afternoon)
- Save the override
Common Overrides
- Vacation: Block multiple days when you're away
- Holiday: Block national holidays
- Personal Time: Block days you need off
- Special Hours: Extended hours on specific days (e.g., busy season)
- Lunch Break: Block a specific window (e.g., 12-1 PM) daily without blocking entire day

Create individual overrides for upcoming holidays or vacation days. You can block out multiple dates at once to plan your schedule in advance.
Team Member Availability
If multiple team members offer services, each has their own availability:

Team members manage their own availability, or admins can set it for them:
- Go to Scheduling ā Availability
- Use the team member dropdown at the top to select a team member
- Set their weekly schedule and overrides
- Save
Booking With Team
When services have multiple team members available, clients choose their preferred person. Only available team members appear in the booking form.
Timezone Management
Ensure bookings respect timezone differences if you have remote or international clients:
Workspace Timezone
Your workspace timezone is set in Settings ā Workspace. All availability times are based on your workspace timezone.
Client Timezone Display
Clients see available times in their own timezone automatically. StudioLedger converts your availability times so international clients see the right times.
š” Example: Cross-Timezone Booking
You're in New York (EST), available 9-5. A client in London (GMT) sees available times as 2 PM - 10 PM their time. When they book at 3 PM London time, it's 10 AM your time.
