Line Items

Overview

Line items are the building blocks of invoices and estimates. Instead of typing "Studio Time: $150" every time, create a line item once and reuse it across documents.

Organize line items into categories for quick access when creating documents. For example: "Photography Services", "Editing & Retouching", "Licensing & Usage Rights".

Line Item Categories

Categories help organize line items logically. When creating an invoice, you see line items grouped by category for quick browsing.

Common Categories

  • Photography Services — Studio time, on-location shoots, consultation
  • Editing & Retouching — Color correction, background removal, retouching hours
  • Licensing & Usage Rights — Print rights, web licensing, exclusivity
  • Deliverables — Rush delivery, extra prints, digital copies
  • Travel & Expenses — Travel fees, location costs, equipment rental
  • Miscellaneous — Anything that doesn't fit categories above

Creating Categories

  1. Go to Settings → Templates → Line Items
  2. Click Add Category
  3. Enter the category name
  4. Save

Creating Line Items

Add line items to your library to use in invoices and estimates:

Step-by-Step

  1. Go to Settings → Templates → Line Items
  2. Select a category — Choose which category this item belongs to
  3. Click "Add Item"
  4. Fill in details:
    • Name — e.g., "Studio Session (8 hours)"
    • Description — Optional details (shown on invoices)
    • Rate — Price per unit
    • Unit Type — Hours, days, items, flat fee, etc.
  5. Save the item

💡 Example Line Items

  • Studio Time: $150/hour
  • On-Location Shoot: $200/hour
  • Editing: $75/hour
  • Print Licensing: $500 per image
  • Digital Delivery: $25 (flat fee)
  • Rush Delivery: 20% surcharge

Using Line Items in Documents

When creating an invoice or estimate, your line items appear in a quick-select library:

Adding Items to a Document

  1. Create a new invoice or estimate
  2. In the line items section, click Add Line Item
  3. Your saved line items appear organized by category
  4. Click an item to add it to the document
  5. Edit the quantity or rate if needed for this specific document

Quick Actions

  • Search: Type to filter line items by name
  • Custom Item: Add a one-off item not in your library
  • Edit: Update quantity/rate for this document only (doesn't change the saved item)
  • Remove: Delete line item from this document
