File Transfers

Overview

File Transfers let you securely send large files to clients without email size limits. Clients click a link, see your branding, and download files directly.

Perfect for: proofs, final deliverables, edits, high-resolution files, batch downloads.

Creating a Transfer

Create and send a file transfer in minutes:

Step-by-Step

  1. Go to Tools → File Transfers
  2. Click New Transfer
  3. Give the transfer a name (e.g., "Product Shoot Proofs - Spring 2024")
  4. Add a description (optional)
  5. Upload or select files:
    • Click Add Files and select from your computer
    • Or browse Dropbox if connected
    • Drag and drop files directly
  6. Configure settings:
    • Expiration date (when access expires)
    • Password (optional, for extra security)
    • Allow downloads (on/off)
    • Allow preview (on/off)
  7. Add recipient email addresses
  8. Write a custom message (optional)
  9. Send transfer

StudioLedger supports transfers up to 100GB. Perfect for large batches of high-res images, video files, or archives.

Each transfer gets a unique, shareable link:

Your transfer gets a unique URL like:

Recipients see your branding and can download or preview files.

Ways to Share

  • Email: StudioLedger sends invitation emails automatically
  • Direct Link: Copy the URL and send however you want
  • QR Code: Generate a QR code for print or digital sharing
  • Embed: Embed transfer widget on your website

Add a password to any transfer for extra security. Share the link publicly but require the password for access.

Expiration & Security

Control access and security for each transfer:

Expiration Dates

Set when the transfer expires. After expiration:

  • Recipients can no longer access the link
  • Files are automatically deleted from StudioLedger (after 30 more days)
  • You receive notification when transfer expires

Download Controls

  • Allow Downloads: Recipients can download all files
  • Preview Only: Recipients can preview but not download (for samples)
  • No Downloads: Lock files completely (view-only)

Track Activity

See who accessed the transfer and when:

  • Download history (who downloaded what)
  • View timestamps
  • Email notifications for each access

Transfer Statuses

Active

Transfer is live. Recipients can access and download files.

Pending

Files are still uploading or transfer hasn't started yet.

Expired

Transfer expiration date has passed. No one can access it.

Archived

You manually archived it. Files are retained but transfer is hidden.

Managing Transfers in Bulk

You can now select multiple file transfers from the table or card view and delete them in one action. This is useful when you need to clean up expired proofs, duplicate sends, or completed deliveries.

  1. Open Tools → File Transfers.
  2. Select the transfers you want to remove.
  3. Click Delete Selected.
  4. Confirm the deletion.

StudioLedger currently lets you delete up to 50 transfers at once.

Expired transfer rules

Expired transfers are now treated more strictly. Once a transfer is expired, you can delete it, but you cannot reopen it in the normal edit/share flow until you extend it or replace it with a new transfer.
