Contracts

Overview

The Contracts tool lets you send contract templates or custom PDFs to clients for secure digital signature. No printing, scanning, or email back-and-forth—everything happens online.

Each contract tracks signature status, timestamps, and is automatically archived once completed.

Sending Contracts

Send a contract to a client in a few clicks:

Sending Process

  1. Go to Tools → Contracts
  2. Click New Contract
  3. Choose a template or upload a custom PDF
  4. Add recipient(s):
    • Client email address
    • Optional: additional signers (spouse, witness, etc.)
  5. Write a subject line and optional message
  6. Review the signature fields
  7. Send invitation email(s)

💡 Use Contract Templates

Save time by using contract templates you've set up in Settings → Templates → Contracts. Fields are already configured.

Managing Multiple Signers

When contracts require multiple signatures (you + client, couple, witness), assign fields to different roles:

Signer Roles

  • Client: Primary recipient who receives the contract
  • You: Your signature (can be pre-filled)
  • Spouse/Co-Owner: Additional required signer
  • Witness: Third-party witness to signature

Signing Order

Configure the order in which people sign (if sequential):

  • Client signs first — Default
  • You sign first — Then sent to client
  • Parallel: Everyone receives simultaneously

Tracking Signatures

Monitor the status of each contract sent:

Contract Status

  • Sent: Contract emailed to recipient, awaiting action
  • Viewed: Recipient opened the email/contract
  • In Progress: Someone is actively signing
  • Signed: All required signatures completed
  • Declined: Recipient refused to sign
  • Expired: Signature deadline passed unsigned

Activity Timeline

Each contract shows a timeline of events:

  • When it was sent
  • When it was opened
  • Who signed and when
  • Completion time

🔔 Notifications

Get notified when contracts are viewed, signed, or expire. Set notification preferences in Settings → Notifications.

Voiding Contracts

If you need to cancel a signed contract or stop using one:

Voiding a Signed Contract

Open a signed contract and click Void Contract. This:

  • Marks it as voided in records
  • Notifies all signers
  • Keeps the signed copy archived (for legal reasons)
  • Allows you to send a replacement contract

⚠️ Legal Archive

Voided contracts are never deleted. They remain in your archive for legal compliance and dispute resolution.

Next Steps
