Tasks
Overview
The Task management system helps you organize work, track progress on projects, and stay on top of deliverables. Create tasks for retouching, gallery setup, client follow-ups, or anything else.
Tasks can be standalone or linked to specific projects (bookings, galleries, invoices) for better organization.
Kanban vs List View
Organize your tasks visually or in a simple list:
Kanban View
Visual board with columns for different statuses (To Do, In Progress, Done, etc.). Drag cards between columns to update status.
Best for: Visual learners, teams, large projects with many tasks.
List View
Sortable table showing all tasks with details (due date, assignee, status, priority).
Best for: Quick overview, filtering, deadline-focused work.

Creating & Managing Tasks
Creating a New Task
- Go to Scheduling ā Tasks
- Click Create Task or click directly in Kanban column
- Enter task name and description

Set optional details:
- Due date
- Priority (Low, Medium, High, Urgent)
- Assign to team member
- Link to project/booking/gallery
- Add labels/tags
- Save the task
Common Task Types
- Editing: "Retouch client portraits - 50 images"
- Delivery: "Upload gallery and send client link"
- Follow-up: "Send thank you email and booking link"
- Admin: "Send invoice reminder"
- Prep: "Prepare studio, check lighting"
- Personal: "Update portfolio with recent work"
Linking to Projects
Link tasks to specific projects to keep everything organized:
Project Types
Tasks can be linked to:
- Bookings: Task related to a specific client session
- Galleries: Gallery setup, editing, publishing tasks
- Invoices/Estimates: Invoice creation, payment follow-up
- Clients: General client-related tasks
- Custom Projects: Create custom projects for large initiatives
Linking a Task to a Project
When creating a task, click "Link to Project" and select:
- Project type (Booking, Gallery, Invoice, etc.)
- Specific project (e.g., "John Smith - Studio Session")
- The task now appears on the project's detail page

Open a project (booking, gallery, etc.) to see all related tasks. This keeps everything for a project in one place.
Task Statuses
Track task progress through different statuses:

New task, not started
āIn Progress
Currently working on it
āIn Review
Waiting for feedback/approval
āDone
Completed
āCancelled
Decided not to do this task

In Kanban view, drag tasks between columns to change status. In List view, click the status dropdown to update.

- Set up a few recurring tasks (e.g., "Weekly portfolio review")
- Link tasks to bookings and galleries
- Assign tasks to team members if applicable
CRM Links and Deep Linking
Tasks can now be linked more directly to your CRM records. When creating or editing a task, you can associate it with a contact, company, project, or lead.
Those links are clickable from task cards and list rows, so you can jump straight into the related CRM record without manually searching for it.
Deep links
When you open a linked company or lead from a task, StudioLedger uses deep links to open the correct record in the CRM page automatically. This is especially helpful when you are moving quickly between task execution and client context.
