Contract Templates

Overview

Contract templates let you upload PDF documents and configure them for digital signature and delivery. Instead of emailing PDFs back and forth, clients sign directly in StudioLedger.

Common use cases: Service agreements, non-disclosure agreements (NDAs), licensing terms, work-for-hire agreements, model releases.

Uploading PDFs

Start by uploading your contract PDF:

Getting Started

  1. Go to Settings → Templates → Contracts
  2. Click Upload New Contract
  3. Select a PDF file from your computer
  4. Give the contract a name (e.g., "Service Agreement", "NDA")
  5. Upload the PDF

PDF Requirements

  • Format: PDF only (not Word, Google Docs, etc.)
  • Size: Up to 25MB
  • Pages: Multi-page PDFs supported
  • Content: Can include images, logos, formatting

If your contract is in Word or Google Docs, export it as PDF first:

  • Word: File → Export As → PDF
  • Google Docs: File → Download → PDF Document
  • Pages: File → Export → PDF

Placing Signature Fields

After uploading, place interactive fields on the PDF for clients to fill out:

Field Types

  • Signature — Client signs with mouse, trackpad, or finger
  • Initials — Client initials a specific section
  • Date — Auto-fills with current date or client-selected date
  • Text Field — Client enters custom text (name, company, etc.)
  • Checkbox — Client checks to confirm agreement

Adding Fields to a Contract

  1. Go to Settings → Templates → Contracts
  2. Click on the contract to edit
  3. In the PDF preview, click the location where you want to add a field
  4. Select field type from the menu
  5. Assign the field to a signer role (Client, You, Witness, etc.)
  6. Set field as required or optional
  7. Save

Assign fields to different roles so multiple people can sign:

  • Client (the person you're sending to)
  • You (your signature)
  • Witness (third-party witness)
  • Spouse/Guardian (for additional signers)

Using Contract Templates

Send contracts to clients for signature from your workspace:

Sending a Contract

  1. Go to Tools → Contracts (or access from a project/client profile)
  2. Click Send New Contract
  3. Select a contract template
  4. Enter the client's email address
  5. Add a subject and optional message
  6. Review the signature fields
  7. Send

Client Signing Flow

When you send a contract:

  1. Client receives an email with a link
  2. They click to open the contract
  3. They see the PDF and fields to fill out
  4. They sign/initial/fill in each field
  5. They click "Complete & Send"
  6. You receive a notification and the signed PDF

Tracking Contract Status

  • Pending: Awaiting client signature
  • Signed: Contract completed and signed by all parties
  • Viewed: Client opened the email/contract

šŸ’” Contract Versioning

If you update a contract template, new contracts sent will use the new version. Previously signed contracts are archived and unchanged.

Next Steps

  • Convert your contracts to PDF format
  • Go to Settings → Templates → Contracts and upload your first template
  • Add signature fields to the appropriate locations
  • Test by sending to yourself first
