Terms & Conditions
Overview
Terms & Conditions templates let you define your standard business terms once and attach them to multiple documents. This ensures consistency and legally protects your business.
You can create multiple T&C sets for different scenarios: Standard T&C, Rush Service T&C, Licensing T&C, Rental Agreement, etc.
Creating Terms Presets
Define standard terms and conditions that apply to your work:
Common Terms to Include
- Payment Terms — Deposit requirements, due dates, late fees
- Cancellation Policy — Conditions for canceling sessions or projects
- Usage Rights — What clients can/cannot do with the images
- Copyright Notice — You retain copyright unless otherwise specified
- Liability Limitations — Your responsibility in case of issues
- Model Release — If clients appear in photos, their rights
- Rescheduling Policy — Notice required to change appointment
- Dispute Resolution — How disputes will be handled
Creating a T&C Template
- Go to Settings → Templates → Terms & Conditions
- Click Create New Template
- Give it a name (e.g., "Standard Terms", "Licensing Agreement")
- Write out your standard terms in the text area
- Format with headings and sections for clarity
- Save the template

Setting Default Terms
Set a default T&C template to be automatically attached to new documents:
For Invoices & Estimates
Go to Settings → Templates and select your default invoice/estimate terms. These are automatically added to new invoices unless you override them.
You can still change or remove T&Cs for individual documents.
For Galleries
When creating a gallery, you can link it to a T&C template. Clients see the terms in the gallery footer.
Useful for clarifying usage rights and download restrictions for specific galleries.
💡 Multiple T&C Sets
Create different T&C templates for different situations:
- "Standard Business Terms" — Default for all projects
- "Licensing Agreement" — For galleries where clients buy licenses
- "Rental Terms" — For equipment rental projects
- "International Client Terms" — Specific to overseas clients
Attaching Terms to Documents
Attach T&Cs to specific documents when creating or editing them:
For Invoices & Estimates
- Create a new invoice or estimate
- Scroll to Terms & Conditions section
- Click Select Terms
- Choose a template from your saved list, or write custom terms
- The selected T&Cs appear in the document preview
- Clients see the terms when they view the document
For Galleries
- Go to gallery settings
- Find Policies & Terms section
- Link a T&C template
- The terms appear in the gallery footer
Customizing Per Document
Don't want to use the default terms for a specific document? You can:
- Select Different Terms: Choose a different template
- Write Custom Terms: Add one-off terms for this document only
- Remove Terms: Send without T&Cs if appropriate
